Terms and Conditions
A part of Proclaim Church’s mission is to serve its community. One way this is done is by renting its facilities when not being used for Proclaim Church’s services, ministries, or programs. Priority is given to charities, groups, or individuals whose activities align with the church's mission and vision. Other groups may rent at Proclaim Church’s discretion. As a Christian church, Proclaim Church reserves the right to approve only those activities consistent with Christian faith and its statement of faith. An authorized staff member will make these decisions.

Proposed Use and Conduct of Renter:
The property and building located at Unit 8, 140 Wendell Avenue, Toronto is operated by Proclaim Church. All activities must align with the faith, mission, and values of the church. Proclaim Church has sole discretion to determine if any event or behavior violates this condition. Unsafe or illegal activities are strictly prohibited, and any violation will result in immediate cancellation of the rental agreement. The renter must avoid any actions that may cause damage or disturbance. Proclaim Church reserves the right to evict any renter or event in violation of this policy.

Hours of Use:
The facilities will be available only for the times specified in the rental agreement. Exceeding the agreed-upon time will result in additional charges, with the hourly rate applied for every 15 minutes over the scheduled time. Access to the building will be granted no more than 15 minutes prior to the setup time. The renter is responsible for ensuring that all attendees vacate the premises on time.

Designated Areas:
Only areas specified in the rental agreement may be used. Using other areas will result in additional fees based on an hourly rate or a $200 charge, whichever is greater. If renting the Sanctuary space only, please use the Foyer exclusively for accessing the washrooms and for entry and exit. Setup and usage of the Foyer is not permitted.

Exits and Entrances:
All exits and entrances must remain unobstructed at all times. Parking in fire lanes is prohibited, and violators may have their vehicles ticketed or towed at their expense.
Emergency Evacuation:
Exits are clearly marked. Renters should familiarize themselves with the nearest emergency exits. In the event of an emergency, renters must ensure all guests evacuate safely.

Clean-up:
Renters are responsible for removing decorations, cleaning tables and chairs, and disposing of garbage and recycling properly. Any additional cleaning time required will be billed to the renter.
Supervision:
Renters must appoint a Supervisor, at least 21 years old, who will be present throughout the event. The Supervisor will ensure compliance with the agreement and report any damage. In case of emergency, the Supervisor will oversee evacuation. Proclaim Church may require additional security, at the renter's expense.

Personal Injury:
The renter assumes all responsibility for personal injury or damage.
Moving Furniture and Fixtures:
Furniture or equipment may not be removed or taken outside without prior approval. Additional fees will apply for extra time spent rearranging or moving furniture.

Damage, Breakage, or Missing Items:
The renter will be responsible for any damage caused during the event. The renter will also assume responsibility for any lost or damaged property.

Audio and Video Resources:
Church equipment must be operated by trained technicians approved by Proclaim Church. The availability and use of such equipment will be noted in the rental agreement.

Insurance:
Renters must provide proof of insurance with a minimum liability coverage of $2,000,000, naming Proclaim Church as an Additional Named Insured. (https://duuo.ca/)

Fundraising:
Fundraising activities require prior approval, and gambling or games of chance are prohibited.

Vending and Concessions:
Renters may not operate concessions that compete with Proclaim Church’s operations.

Property Belonging to Renters:
All renter property must be removed by the end of the rental period. Proclaim Church is not responsible for lost, stolen, or damaged property.

Signs and Decorations:
Only painters tape or blue removable sticky tack can be used to hang decorations. Confetti, rice, and similar items are prohibited. Additional cleaning costs may be charged to the renter.

Candles:
Only birthday candles are permitted for momentary lighting.

Smoking and Cannabis:
Smoking and the use of cannabis are prohibited on Proclaim Church property. Violations will result in the immediate cancellation of the rental agreement.
Pets:
Pets are not allowed in the building, except for service animals.

Food or Drink:
The consumption of food and beverages must be approved in the rental agreement. Additional charges may apply for kitchen use.

Alcohol:
Alcohol is not permitted on Proclaim Church property.

Maximum Capacity:
Renters are responsible for adhering to posted maximum capacity limits.

Parking:
Parking is allowed only in designated spaces. Proclaim Church is not responsible for vehicles or their contents. Unauthorized vehicles may be ticketed or towed.

Payment of Booking Deposit and Rental Fees:
To secure a booking, renters must pay a deposit equal to 20% of the rental fee or $50, whichever is greater. Full payment is due 10 days before the rental date. Payments can be made by e-transfer. (rentals@proclaimchurch.ca)

Cancellation by Church:
Proclaim Church reserves the right to cancel a rental agreement due to unsafe conditions or necessary repairs. In such cases, a full refund will be provided.

Cancellation by Renter:
Cancellations must be submitted in writing. A minimum cancellation fee of $50 applies. Cancellations made with
less than 15 days’ notice forfeit the deposit. With less than 30 days' notice, 50% of the fee is non-refundable. Cancellations with less than 15 days notice receive no refund.

Transfer and Assignment:
This rental agreement cannot be transferred or assigned by the renter.

Applicable Laws:
Renters may not engage in illegal activities on the premises.

Disclosure:
The renter is the primary party to the agreement. Misrepresentation of the renter's identity may result in cancellation of the agreement without refund.
